This policy sets out how the Foundation protects the information that you give to us and explains how it will only be used in accordance with this privacy policy. For the purposes of the European Union’s General Data Protection Regulation (Regulation 2016/679) (the Regulation), the data controller is GPG UK.

Why we may use your information

We may collect information in a number of ways, including the following:

  • Through your use of our website
  • When you contact us or request information from us
  • We need to collect personal information to allow us to make grants and engage with grantees, engage with individuals connected with a charity which has applied for a grant or an organisation or individuals with whom we otherwise interact
  • Personal information may be collected and processed in relation to a person in their capacity as a trustee, officer or employee of a charity that has applied to us for a grant
  • Through a course of dealing with you where it is understood that you wish to receive communications from us from time to time
  • In order to comply with our legal and fiduciary duties. 

You may have to include personal information within an application submitted to us, including (but not limited to) your name, email address and telephone number, your role in the charity and any other personal information you provide us that is relevant and necessary for us to collect and process in the course of us considering and making grants, and continuing to administer and monitor grants.

In relation to information obtained for the purposes of making or considering grants, subject to the immediately following paragraph, we will only use such information for the purposes of assessing your application, managing or monitoring any grant awarded, related administration or research purposes and for sharing relevant information to other funding organisations to use in their own assessment of applications and managing or monitoring of grants awarded.

We may also contact you, not in relation to a specific application or grant, but for a reason we believe to be in your/your organisation’s interests, such as informing you of events involving The Foundation that we believe may be of interest to you. We will not do this if you communicate with us that you do not wish to be contacted for these purposes (and see further “your rights” below).

What information we may collect from you

We may collect and process the details of your visits to our website including, but not limited to, traffic data, location data, weblogs and other communication data. We use information held about you to respond to queries and requests you make to us and to ensure that content from our website is presented in the most effective manner for you and for your computer.

IP addresses

We may collect information about your computer, including where available your IP address, operating system and browser type, for system administration and to help improve our website. This information may be passed on by us to our service providers to help us analyze this data. This is statistical data about our users’ browsing actions and patterns.

Providing information about other individuals

Your personal information may be shared internally with employees and trustees of the Foundation. We may also share your personal information with contractors, consultants and professional advisors of the Foundation who may be located worldwide, and we may also use personal information to comply with applicable laws, regulations and court orders, or where we have a legitimate interest in doing so.

We will only use your personal information for the purpose it was obtained. Unless you have communicated to us that you would like us to retain your personal information, we will not keep it for longer than is necessary, at which point your information will be destroyed securely. Information provided through a grant application and grant agreement may be retained for archiving and legal purposes.

Third party websites

Our website may contain links to sites operated by persons outside of the Foundation. This policy does not apply to those sites. We do not accept any responsibility for the privacy practices, content or other products and services provided through other sites. We do not accept any responsibility for third party sites.

Transfers to other jurisdictions

In order to provide our services, we may need to transfer your personal information to locations outside the jurisdiction in which you provide it or where you are viewing our website for the purposes set out in this privacy policy. The level of information protection in other jurisdictions may be different to that offered in the jurisdiction in which you provide your personal information or the jurisdiction where you are viewing our website.

Your rights

Under the Regulation, certain rights are conferred on data subjects.

You are entitled to request details of the information we hold about you and how we process it. You may also have a right in accordance with the Regulation and other applicable data protection law to have your personal information rectified or deleted, to restrict the processing of that information, to stop unauthorised transfers of your personal information to a third party and, in some circumstances, to have personal information relating to you transferred to another organisation.

We may require further information from you in order to verify your identity before disclosing any personal information about you.

If you object to the processing of your personal information, or if you have provided your consent to processing and you later wish to withdraw that consent, we will respect that choice so far as it is consistent with our legal obligations.

All our employees and any third parties we engage to process your personal information are obliged to respect the confidentiality of your personal information.
